Politely declining an invitation without offending the person

Situation

A colleague invites you to dinner at her place on Saturday evening. You appreciate the gesture, but it doesn't work for you — you want to decline without giving the impression you don't want to see her.

Hey, I'm having a small dinner at my place Saturday evening with a few friends. Would you be up for coming?

  • You
    Listen

Oh, that's really kind of you to think of me! Let me check just a moment.

  • The colleague
    Listen

Prends ton temps.

Take your time. It'll be from seven o'clock, nothing too formal.

  • You
    Listen

Ah, I'm really sorry, Saturday evening I can't. I already have a family commitment.

  • The colleague
    Listen

Ah dommage !

Oh, too bad! Are you sure? You could maybe just drop by early in the evening?

  • You
    Listen

It's kind of you to offer, but no, it'll be tricky. I'll be tied up the whole evening.

  • The colleague
    Listen

Pas de souci, je comprends. Je voulais juste te le proposer.

No worries, I understand. I just wanted to invite you.

  • You
    Listen

Et ça me touche, vraiment.

And it really touches me, truly. It would have been a pleasure, if I'd been free.

  • The colleague
    Listen

Bah, ce n'est que partie remise. On se reprendra une autre fois.

Well, it's only postponed. We'll do it another time.

  • You
    Listen

With great pleasure. Actually, can I suggest something in return?

  • The colleague
    Listen

    Bien sûr, vas-y !

    Of course, go ahead!

  • You
    Listen

We could go for lunch together one day this week or next? That way I don't lose touch with you.

  • The colleague
    Listen

Excellente idée ! Mercredi midi, ça t'irait ?

Excellent idea! Wednesday at noon, would that work for you?

  • You
    Listen

Mercredi midi, c'est parfait. Je te confirme par courriel demain matin.

Wednesday at noon is perfect. I'll confirm by email tomorrow morning.

    Thanks! See you Wednesday, then.

    À mercredi !

    See you Wednesday!

Culture note

In Quebec, declining an invitation is done warmly but without making a big production: a « thanks, that's kind, but I can't » followed by a short reason is enough — no need for lengthy justification. The move that makes all the difference is offering an alternative yourself (« let's grab lunch instead? »), which shows the « no » is about the date, not the person.
